Google Drive – Why It’s Awesome and How It Makes Chromebook Sexy

Google launched Google Drive on 24 Apr.  I believe it is a significant step that takes cloud living and working into a new era.  In this article I shall briefly introduce what Google Drive is, how to use it and what killer features does it have.

Activation

Currently Google Drive is not fully opened to all users.  If you go to http://drive.google.com, chances are you would see the following screen.  Note the “Your Google Drive is not ready yet” message and the “Notify me” button (top right corner).  From here you could ask Google to send you an activation email.

It may take hours or days to receive Google’s welcome email, which looks like this:

Basically Google Drive is an upgrade of Google Docs.  It doesn’t look much different from Google Docs.  You can use it the same way as Google Docs, there is not much of the user interface to learn.

Features

But Google Drive is not simply a Google Docs with a larger capacity (Google gives you 5 GB storage for free).  I see a few improvements.
 
Firstly, Google Drive has a built-in OCR function, meaning that if you search for a phrase in your Google Drive, not only would text-based files containing the phrase would come up in search results, pictures which the phrase would also be searched.  Google recognizes the text in graphics form.  Similarly, Google Drive also integrated Google Goggles the image search engine.  So it you try to find “the great wall” in Google Drive, even if the file name does not contain the words, Google Drive could recognize the photo you took in Beijing in your last trip to China.
 
Secondly, just like Dropbox and Skydrive by Microsoft, the desktop app of Google Drive automatically synchronize your files between your Windows PC or Mac and your Google Drive.  There is also an Android app and an iOS app is in the pipeline.  This level of synchronization was not available in the previous Google Docs.

Thirdly, Google brought web apps into Google Drive.  When I first entered Google Drive, I was asked if I wanted to use Pixlr Editor as the default image viewer and editor.

This is a smart move by Google.  There are way too many online storage competitors in the market, the most famous ones include Dropbox, Box and Skydrive.  Why should we use Google Drive if other companies provide the same (or more) storage space?  By adding web apps to web storage, Google created not only a storage space but an online working space!

 

There is a growing collection of Chrome web apps that support Google Drive.  You can identify these web apps by the Google Drive icon in chrome Web Store:

And you can add more web apps by clicking “Create”, choose “More” and then “Get more apps”.

I see huge potential in integrating Google Drive with web apps.  Image editor, word processor, music player and editor, spreadsheet editor…  All web apps could be ran on the same Google Drive platform, this makes online working and collaboration much easier.  The Google Docs in the past was primitive, it only had basic editing function.  Now when third-party app developers could create web apps that have direct access to Google Drive, more possibilities are created.
 
The launch of Google Drive with web apps also makes Chromebook a much more attractive product.  Users can store all their files online in one place and have them viewed and edited in the same one place.  Chrome OS + Google Drive + web apps is an integrated, independent and complete system.  As long as you have web access, you have access to your files and apps to view/edit your files.  I think Google Drive filled the missing piece of a complete cloud system.  The cloud era has come, now in a more desirable way.

With this app, you can pre-define a number of locations and the reminder / message to display.  This web app uses Chrome to track your location.

Whenever you arrive at your pre-defined locations, the corresponding reminder / message would pop up.  The app requires a WiFi connection to function.

How could you use this app?  You may set a reminder to call your client when you back to the office, or pop up a message when you back from the lecture hall to the dorm.

Accessibility Extensions for Chrome and Chrome OS (Google Chrome Tutorial)

Internet is the most effective communication tool nowadays, yet due to limitation in technologies, some people with varying degrees of accessibility issues may be unable to enjoy the internet as much as we do.  This article introduces a few accessibility extensions for Chrome and Chrome OS that helps these people to browse the web.

 

ChromeVis

Many info sites such as newspapers and blogs contain lot of words, to put as much information on the page as possible the texts are usually quite small.  ChromeVis is a a handy tool to address this issue.  It magnifies and highlights texts.  Simply choose an text, ChromeVis will display an enlarged version of it on top of the page.  You can choose the background and text colors to create a high contrast.

ChromeShades

ChromeShades is designed to help blind users.  It re-formats a web page in a way that simulates how a blind user would perceive it with a screen reader.  The final outcome is a much simplified web page without losing (most) interactive features.  For web developers who want to create accessible web pages, this tool helps them to identify issues before opening a screen reader or send it to a tester for testing (but it is not a full .  Below are a few illustrations I found in the user manual:

ChromeVox

ChromeVox takes one step further by directly reading out the texts on page.  There are many text-to-speech apps out there, what’s so special about this function?  Firstly, ChromeVox has a number of keyboard shortcuts to help users to navigate around the page.  For example, you can jump to the next heading directly.  Users can control the level of navigation, e.g. jumping between objects (for instance, bullet points), sentences, words and characters.

Secondly, this extension guides users by sound.  When finished loading the page, you hear a beep sound telling you that the page is ready for navigation.  It could read out the texts on the page and the menu items of Chrome.  Watch this video (with video descriptions) to know more:

Pomodoro.me – Productivity Web App Using a Tomato

Last year I introduced ChromoDoro, a Chorme extension that enhances your productivity using the pomodoro technique.  This system suggests that human’s productivity drop after a certain period of time.  By breaking down a big task into smaller ones, complete them one by one with short breaks in between, we maintain high productivity.

Today I am going to introduce a web app that does the time tracing for you.  It is not a browser-specific extension / add-on, as long as you use a modern browser you can fire it up.  If you use Google Chrome, there is a Chrome web app which is basically equal to a bookmark.

 

Pomodoro.me – Web App Employing Pomodoro Technique

This web app cannot be simpler.  There is a logo on top, a timer and four buttons beneath.  Simply click the Pomodoro button, the timer starts to count down 25 minutes, the time span suggested by the Pomodoro system.  Try to complete one task in 25 minutes without getting distracted by other stuff.  When the time comes, this web app tells you that this session ends, you can start a short break of 5 minutes before starting another 25-minute session.  After a few sessions, you can take a long break of 15 minutes instead of 5 minutes.

I am a user of Pomodoro techniques, I have android app as well as Chrome extension serving this function.  This web app gives yet another choice to manage my time, so I highly recommend it to all people who look for effective methods to increase productivity.

How to Backup Your Online from Google? Use Google Takeout

No matter how reliable the cloud is, sometimes we do want to save a backup of our data stored online.  Right?  We have introduced how to backup your Facebook data, do you want to do the same with Google?  No, you don’t have to manually save everything one by one.  Let’s have a look at Google Takeout, a handy tool that packs your data stored on Google’s server under your identity.

Google Takeout is a native service developed by Google, unlike third-party web apps this one is authentic, so there should be no compatibility issues.  You can choose to create archive for the following services in one go:

These are pretty much everything I have ever wanted to download, including Buzz which is no longer active.  You could also choose to download an archive for any individual service:

For each download, you would be shown the estimated size of the package.  Different services have different configurations to make.  For example, you can choose the format of download for your Google Contacts and Circles in Google+.  For Google Voice, you can download your greetings and recording and specify the file format.

It will take a while for Google to pack your data.  Check the “Email me when ready” box to receive notification when it’s done.  Once completed archive creation, you can download the file to your hard disk.

10 Minute Mail: Get A Temporary Email Address, Beat Spam

Today’s featured web app is 10 Minute Mail, a handy tool that gives you a temporary email address.  This address is valid for 10 minutes only.  It is best used to apply for one-time only service, test drive web forms and any service that requires an email address for only one time.

Basically you do not have to do anything or install any software to use it.  Just go to the official site of 10 Minute Mail, a randomly generated email address will be shown.  You have 10 minutes to use this email address however you want.

During these 10 minutes, all emails addressed to this address would be shown on this web page.  You have the options to reply to the email or forward it to your own mailbox.  If you run out of time, click “Give me 10 more minutes” to obtain an extra 10 minutes.

So how should you use this service?  If you are a web site developer, this is a good tool to test your site’s application forms without having to use real email addresses.  If you are asked to provide email address to get access to a web site, but you cannot pay 100% trust to the site, you can try 10 Minute Mail.  I also heard of people using it and virtual machines to apply for lots of Dropbox accounts by referral, so that their main Dropbox accounts get extra spaces.

Citebite: Link Directly to Specific Quotes in Web Pages

I have introduced some link shorteners and simplifiers before.  They allow you to shorten long URLs and make web pages easier to read.  Citebite, the web app I’m going to introduce, works in a similar way but produce different results.  Instead of an easy to remember URL, it generates a new URL with a (seemingly) random string of characters.  It probably does not make URLs easier to remember or enter, but it helps you to quote a specific part of a web page for sharing and sending to friends.  It is very useful when you want to share a web site to others but want to highlight only a specific part of it.

Citebite is very easy to use.  Just copy the URL of the site and the text you want to highlight, paste into Citebite, it will generate an URL for sharing.  I used a blog post in this blog as an example.

If your friends follow this link, they will see the web site with the specific part highlighted.  I found this very useful for sharing long web pages.

By default, Delicious, StumbleUpon and Digg icons are provided for fast sharing to these sites.  You can also manually copy the link and attach to email, tweets and updates in Google+ and Facebook.

Citebite has a Firefox extension (sorry, not for Chrome).  Users of other web browsers could use a bookmarklet instead.  Both of them are provided on the official site.

Relaxpls has one and only feature – to bring you beautiful natural photos and natural sound to calm you down and relax your mind.  The natural scene changes frequently.  The sound you hear is birds, wind and running water, those you could hear if you have a walk in the woods.  You can mute the sound by clicking an icon on the web page if you simply need to freshen your eyes without the sound.

So how can it work as a screen saver?  Most modern browsers have a full screen mode.  For example, in Chrome in Windows you can view a web page in full screen by pressing F11 key.  You can also click the wrench icon in Chrome, then click the full screen icon to the right of the Zoom option.  Then the screen will be filled by the beautiful natural environment.

I can think of two good uses of Relaxpls.  Firstly, it is particularly useful as a screen saver on a Chromebook.  Chrome OS does not provide a mechanism for changing the screen saver.  Relaxpls is a good alternative to the default one.  Secondly, it could be used as a meditation tool.  The images and sound massage your eyes and ears, take pressure out of you after hours of work.
